Orientation Coordinator Application
Starting with the Approaching Stanford process through New Student Orientation, Undergraduate Advising and Research (UAR) strives to acclimate each entering first-year and transfer class to life at Stanford by introducing them to the University's diverse educational opportunities and resources; acquainting them with other students and University staff; helping them feel at home in their residential community; and creating for them a sense of place in Stanford's history as contributing members. UAR also establishes the relationship between family members and the University by introducing them to Stanford culture and resources, providing opportunities to interact with other parents and families, and offering support as their students enter college. To achieve this, UAR relies heavily on recruiting a productive and dedicated team of Orientation Coordinators (OCs) to support the myriad events, projects, and tasks that go into welcoming new students to Stanford.

Overview of the Application Process
A complete application consists of the following components:
- Basic information (class year, academic interests, resumé, etc.)
- Recommendation - Your recommender should be an employer or advisor who has supervised you in a work or volunteer experience or a student activity (preferably from Stanford). Please ask your recommender to complete this OC Recommendation Form no later than 9:00 a.m. on Thursday, February 14, 2019.
- Orientation Coordinator project area preferences (see below)
- Short essay responses
Invitations for individual interviews will be sent shortly after the application deadline. First-round individual interviews will take place in late February, and second-round group interviews will happen in early March. Detailed interview information will be sent via email.
About the Position
Orientation Coordinators (OCs) will help coordinate the Approaching Stanford process and New Student Orientation. This position is structured to be a formal work experience for undergraduate students, though coterm students are welcome to apply. OCs will gain professional skills and experience including project management, effective communication and writing, collaboration, knowledge of University policies and procedures, teamwork, and mentorship. Communication with faculty, administrators, departments, services, new students, and parents/families is an integral aspect of this position. Please note that while OCs will be assigned a primary project area, they may be asked to assist with other project areas throughout the job. Please mark your preferences on your application.
Communication & Outreach
- Communicate with and answer questions from incoming students and family members using phone, email, and social media
- Coordinate publications and communications, including the Approaching Stanford Handbook, hard copy and electronic mailings, and OC Blog content
- Track and process Approaching Stanford forms and data for incoming students, including photos, housing preferences, and assignments
- Coordinate summer outreach between first-year/transfer students and NSO volunteers
- Manage Check-In Packet and Campus Distribution materials and assembly processes
- Manage internal OC team morale and programming
- Coordinate event planning for the 11 community programs that host NSO events
- Train and liaise with Community Coordinators (CCs) and community center/program staff
- Manage summer community mailings to incoming students
- Monitor community program budgets and expenses
- Oversee materials and supply orders for all community events
- Create and design the printed frosh and transfer Lookbook
- Design apparel (e.g. volunteer t-shirts, OC gear), calendars, programs, and other print publications
- Support video/filming projects (as needed)
- Assist with web authoring projects (as needed)
- Note: Requires knowledge of InDesign, Adobe Photoshop, Adobe Illustrator, and other design/video software
Events & Logistics
- Maintain master NSO event database and multiple inventory/planning spreadsheets
- Coordinate details of major NSO events: Convocation, Faces of Community, Beyond Sex Ed, Three Books, Discover Stanford, Provost Dinner, and the New Student Party
- Conduct outreach to multiple campus partners to schedule NSO open houses, information sessions, tours, etc.
- Plan for student accommodations and accessibility at all NSO events
- Oversee and create directional maps and signage for Move-In Day and NSO events
- Manage vendors and supply orders (e.g. security, portables, golf carts)
- Recruit and manage 100+ Orientation Volunteers (OVs)
- Directly supervise 10-12 Head Orientation Volunteers (HOVs)
- Design and lead training sessions and bonding activities for all NSO volunteers
- Create and manage detailed HOV team schedules and instructions for the week of NSO
- Oversee regular summer outreach and communication to all volunteers
- Foster engagement, excitement, and positive morale for volunteers during NSO
Expectations & Compensation
OCs are expected to:
- Be on campus for the duration of their employment (spring quarter through NSO/September 22)
- Work 4 - 6 hours a week during spring quarter
- Work full time beginning on Monday, June 24 through New Student Orientation, with significant additional hours necessary the week before and during NSO. The summer, full-time OC work schedule is 9:00am - 5:00pm, Monday through Thursday, and 9:00am - 1:00pm on Fridays.
- Work as needed after NSO through October to wrap-up and submit final reports (5-10 hours of work).
UAR student staff members cannot hold a residence staff position (e.g. RA, RCC, PHE, Row Manager, etc.) for 2019-20 or enroll in any programs that occur before the start of the academic year in September 2019. We have found that students involved in these programs do not have the time needed to commit to UAR staff responsibilities.
OCs are paid hourly at a competitive student employee rate. UAR will also provide additional financial support to help with the cost of summer housing. OCs are encouraged to live on-campus for the summer and should submit an application for on-campus summer housing if they decide to do so. In addition to hourly pay, OCs also receive compensated early arrival housing and dining, NSO apparel, and occasional meals throughout the summer. - Knowledge of MS Word and Excel; Adobe Illustrator, Photoshop, and InDesign -- or the willingness to learn new software programs
- Previous leadership experience working with new students and/or major Stanford events preferred
